The Ultimate Event Checklist:
12 Months Before Your Big Day

By Shobuk Gold Team · March 2025 · 10 min read

The secret to a stress-free event isn't luck — it's a solid timeline. Starting 12 months out gives you the breathing room to make thoughtful decisions, secure the best vendors, and arrive at your event day feeling calm, prepared, and truly present.

12 Months Out

Set Your Foundation

  • Define your event vision, theme, and overall feel
  • Set a realistic budget with a 10–15% contingency buffer
  • Choose and confirm your event date
  • Start researching and visiting venues
  • Hire your event planner
  • Create a preliminary guest list

This is the most important phase. Every decision you make later flows from the clarity you create now. Don't rush it.

9–10 Months Out

Book Your Key Vendors

  • Sign venue contract and pay deposit
  • Book photographer and videographer
  • Shortlist and begin meetings with caterers
  • Research and reach out to entertainment options
  • Begin décor concept development with your planner
  • Send save-the-dates for destination or out-of-town guests

The best photographers, videographers, and venues in Nigeria are often booked 9–12 months in advance. Do not delay these bookings.

6–8 Months Out

Lock in the Details

  • Confirm caterer and finalise menu options
  • Book your MC, live band, and/or DJ
  • Commission custom aso-oke or fabric (for weddings)
  • Finalise décor concept and get quotes from decorators
  • Book hair, makeup, and styling team
  • Research accommodation for out-of-town guests
  • Begin designing invitation suite
3–5 Months Out

Build Your Run of Show

  • Send formal invitations
  • Create a detailed event timeline / run of show
  • Finalise guest list and table assignments
  • Confirm all vendor bookings in writing
  • Book transportation for key guests and the wedding party
  • Plan rehearsal dinner or pre-event gathering
  • Order all printed materials (menus, programmes, signage)
4–6 Weeks Out

Final Preparations

  • Confirm final headcount with all vendors
  • Do final venue walkthrough with decorator and planner
  • Conduct AV and sound check at venue
  • Collect RSVP confirmations and chase stragglers
  • Prepare final payments for all vendors
  • Prepare emergency kit (safety pins, tape, touch-up kit, painkillers)
  • Brief all family members and key guests on timeline
The Week Before

Final Week Checklist

  • Confirm all vendors one final time
  • Share detailed timeline with every vendor
  • Do a full rehearsal
  • Prepare all payments in labelled envelopes
  • Pack everything you need the night before
  • Get enough sleep — you'll thank yourself on the day

The week before is about confirmation, not new decisions. Everything should be locked. Your only job now is to rest and be present.

The Big Day

Day-Of Essentials

  • Arrive early — give yourself 30 minutes more than you think you need
  • Do a final venue check before guests arrive
  • Trust your planner and vendors — let them handle logistics
  • Eat something before the event begins
  • Stay hydrated throughout the day
  • Be present. Breathe. Enjoy every moment.
